Sales Orders

Customers

Go to Sales Orders → Customers to manage your customer list. Each customer has a name (required), email, phone, and address. Click New customer to create one — Notes and the Active toggle only appear once you're editing an existing customer, not on creation. Removing a customer doesn't delete their record; it deactivates them (their history is preserved).

A customer isn't required on a sales order — leave it unset for a walk-in or ad-hoc sale.

Creating a sales order

  1. Go to Sales Orders and click New Sales Order.
  2. Optionally select a customer, and choose the warehouse the order will ship from (required).
  3. Click Create Order. This creates the order as a draft with no line items yet.
  4. On the order detail page, click Add line and choose a product, quantity, and unit price for each line. Lines can only be added while the order is a draft.

Order lifecycle

A sales order moves through four statuses: draft → confirmed → shipped, or cancelled.

  • Draft — being built; add or edit lines freely. An empty draft can't be confirmed.
  • Confirmed — click Confirm order when it's ready. This deducts the ordered quantities from the order's warehouse. If any line is a kit, the deduction applies to the kit's component products instead of the kit itself. RSO checks that every line has enough stock before confirming anything — if one line can't be covered, the whole confirm is rejected and nothing is deducted.
  • Shipped — click Mark shipped once the order has gone out. This is a status change only; inventory was already deducted at confirmation, so shipping doesn't move stock again.
  • Cancelled — available from Draft or Confirmed (not from Shipped). Cancelling a confirmed order restores the inventory that was deducted at confirmation, including reversing any kit-component deductions. Cancelling a draft order has no inventory effect, since nothing was deducted yet.

Posting to RSA

If your organization is connected to RSA, a Post to RSA button appears on confirmed or shipped orders. Clicking it queues the order to be created as a draft invoice in RSA — the amount, customer, and line items carry over automatically. Once posted, the button becomes a Posted to RSA · [date] badge with a Re-sync link, which is safe to click again (duplicate invoices are blocked on the RSA side). When RSA later records a payment against that invoice, this order picks up a Paid in RSA badge — no manual entry needed on either side.

If a post to RSA fails (for example, a missing account on the RSA side), a dismissible error banner appears on the order detail page explaining what went wrong.
