RS1 Application Guide

Get oriented in RedSmart One before you open a product workspace, Capture, or available settings.

Sign in to RedSmart One

Sign in with the account your RedSmart administrator assigned to you. RS1 opens only the workspaces and organizations available to that account.

Enter your email and the password you use for Accounting or Operations, then select Sign in, or select Google or Apple. Apple only works with the email address your account uses, so choose Share My Email when Apple asks. To sign in without a password, select Email me a code, enter your email, and type the 6-digit code from the email. The code works for 10 minutes and only once; if it expires, select Send a new code. The screen follows your device language in English or Español; choose the other language under the card and RS1 remembers it. The RS1 version appears under the card.

Before RS1 checks your password or sends a code, the screen asks you to complete a short human check above the main button. It usually passes on its own; if it asks you to confirm, do so and try again. If you see "Please complete the check and try again", the check expired or did not finish, so complete it again.

If you forgot your password, select Forgot password?. RS1 uses your Accounting or Operations password, so it sends you to reset it in Accounting or Operations. If you do not have an account, select Request access to email your RedSmart administrator.

If you see No product access, you are signed in but do not have an Accounting or Operations organization membership. Ask your RedSmart administrator to add the needed access. Capture and Workflow Settings also require their own explicit grants.

Choose a workspace

Use the workspace switcher to move among the options that are available to you. Accounting and Operations retain their own records, permissions, and product guides. Capture appears when you have an authorized Capture organization. In RS1 Preview, Settings appears when the Workflow binding, selected organization, and explicit Workflow grant are available; Production remains disabled until UAT is complete.

Opening one workspace does not grant access to another. If an option is absent, it is not available to the signed-in account in the current context.

Choose an organization

In Accounting or Operations, use the organization selector to choose the exact organization context for your work. Product pages and module permissions are checked for that organization.

Capture lists only your authorized organizations and can filter the queue across those authorized organizations. Workflow authoring is always for one selected, authorized organization; there is no all-organizations authoring view.

Understand your access

Product membership controls whether you can open Accounting or Operations and what you can view there. A product role does not automatically give you Capture or Workflow access.

Capture requires an explicit grant for an authorized organization; viewer grants can inspect available items, while review and processing actions depend on the assigned responsibility. Workflow Settings needs a separate explicit Workflow grant as well as its availability conditions.

Open contextual help

Use a ? help link in RS1 to open the matching guide section in a new tab. The link takes you to the relevant overview, Capture, or Workflow Settings guidance without leaving the work you are doing.

Next steps

When Capture is available to you, continue with Capture. For permission-gated Preview authoring, see Workflow Settings.
