Workflow editor

Create and refine an organization-scoped workflow draft without creating a live workflow.

Create a workflow

In Draft workflows, choose New workflow. The setup flow asks for a workflow name, optional description, document type, destination and optional minimum amount, priority, and starting point. Choose Create draft only after reviewing those choices.

You can begin with a blank safe structure or a compatible template. Creating a draft creates an authoring record only; it does not publish, activate, execute, deliver, or convert anything.

Choose a selector

Choose the document type and its displayed destination, then choose either Organization default or Condition-based override. An override requires a positive priority and can include the optional minimum amount condition. The selector determines where the draft could be considered in a future runtime; it does not cause current documents to be selected or changed.

Add and order steps

Use the Step library to add supported steps. Select a step to configure it, then use its controls to move it up or down, duplicate it, enable or disable it, or remove it. The ordered sequence is saved as draft content and is not a running process.

When an approval-policy step is needed, choose a saved valid policy draft. The editor records the selected policy draft revision for authoring and readiness; it does not open a live approval.

Configure responsibility and capabilities

For a selected step, choose a responsible subject from the authorized organization directory and select the required capabilities. The available options can be named people or product-qualified roles, but choose only entries that are currently offered for the selected organization. Do not type or rely on an identifier copied from elsewhere.

A notification step records in-app notification intent only. Phase 1 does not send notifications or any other delivery.

Set entry conditions, outcomes, timers, and escalations

Use the controlled settings for the selected step to define its supported entry conditions, outcome handling, timer values, and escalation targets. Keep conditions and targets compatible with the selected organization and selector. Validation identifies content that cannot qualify for Phase 2 readiness.

Save explicitly

Changes are local until you choose Save draft. The header shows whether the draft is Saved or has Unsaved changes. Saving creates a new saved draft revision and refreshes validation and the authoring summary; it does not publish or activate the workflow.

If you try to leave with unsaved changes, RS1 asks whether to Discard changes or Cancel. Cancel keeps the local state. Discard changes leaves without writing a recovery draft.

Resolve a revision conflict

If the saved draft changed elsewhere before your save completes, your local edits remain untouched and RS1 shows Draft changed elsewhere. Choose Reload latest saved revision to replace local state with the current saved revision, Keep local copy to retain it for manual comparison, or Cancel to close the dialog without changing it.

Understand validation blockers

The validation summary distinguishes a Valid draft from a list of validation issues. Incomplete-but-safe authoring content can save as an invalid draft so you can continue later; it cannot satisfy readiness while issues remain. Malformed or unsafe input is rejected instead of being saved.

Test workflow and Check readiness use saved authoring content only. Publish โ€” Available in Phase 2 stays disabled, and Archive workflow only softly archives a saved inactive workflow; neither action publishes, activates, executes, delivers, or converts anything.

Phase 1 boundary: Workflow Settings authoring is available to authorized accounts in Preview. Drafts, policies, templates, safe tests, readiness, and inactive soft archive are authoring only; Publish and the final three Workflow Settings sections are future or disabled. Production remains disabled until UAT is complete.
