Templates

Use read-only template snapshots to start an independent workflow draft in the selected organization.

Built-in and organization templates

Built-in templates are server-owned starting points. Organization templates are snapshots created from a valid saved workflow draft in the selected organization. Both appear as read-only template entries and are separate from editable workflow drafts.

Template availability is organization-scoped. A template does not grant Workflow Settings access, and its presence does not enable a workflow runtime, publication, activation, delivery, or conversion.

Read-only snapshots

A template snapshot preserves its stored content and selector at a particular version. You cannot edit the template entry through the workflow editor. This protects the source snapshot for later reference and makes its origin visible when a draft starts from it.

Check selector compatibility

Complete the new-workflow selector before choosing Start from. For an organization default, RS1 compares the canonical default selector: organization-default scope, no document type, priority 0, and no conditions. The wizard's document, destination, and minimum-amount choices do not narrow that default template match. For a condition-based override, the template must exactly match the configured document type, displayed destination, positive priority, and every condition. If no compatible template appears, use Blank safe structure or adjust the setup choices.

Start a new draft

From a template, choose Use [template name] to create a new workflow draft. Complete the setup flow and choose that compatible template as the starting point, then select Create draft. The result is a new, independent workflow draft that you can edit and save explicitly.

RS1 records template provenance with the new draft, including the source template version and compatibility information. If the source version later becomes unavailable or incompatible, readiness identifies that as a blocker; it does not change the source template or the draft automatically.

Save an organization snapshot

In Create organization template snapshot, choose a valid saved workflow draft, give the snapshot a template name and optional description, then choose Create organization template snapshot. Only a valid saved revision can be captured. The server reads and stores the snapshot content; unsaved local changes are not captured.

Why copying never edits the source

Copying makes a new draft, not a writable link to the source. Changes you save in the new draft do not alter the built-in template, organization snapshot, or other drafts created from that template. Likewise, a later template snapshot does not revise an existing draft.

Phase 1 boundary: Authorized accounts can use these authoring tools in Preview. Templates and drafts are authoring artifacts; safe tests and readiness have zero side effects, inactive soft archive is not activation, and Publish plus the final three Workflow Settings sections are future or disabled. Production remains disabled until UAT is complete.
