Workflow Settings

Understand the organization-scoped Workflow Settings workspace and its Phase 1 authoring boundary.

Last updated: October 8, 2026 ยท Reflects RS1 v1.7.0

What Workflow Settings does in Phase 1

Workflow Settings Phase 1 authoring is enabled in RS1 Preview for accounts with an explicit Workflow grant in the selected organization. It lets an authorized account create and edit workflow drafts, approval-policy drafts, template snapshots, synthetic safe tests, readiness checks, and an inactive soft archive. Production remains disabled until UAT is complete.

Phase 1 records authoring decisions only. It does not run a workflow against a document, publish a workflow, activate a workflow, deliver a notification, delegate an approval, process a queue, or convert a source-product record.

Organizations and permissions

Workflow authoring is always limited to one selected, authorized organization. There is no all-organizations authoring view. Selecting an organization does not grant access to another organization or to another RS1 workspace.

Workflow Settings requires its own explicit Workflow grant in addition to the availability conditions. A view grant can inspect what is available; creating, editing, saving, testing, and archiving require the applicable edit authority. Product membership alone is not a Workflow grant.

The seven sections

  • Templates lists built-in and organization-owned read-only snapshots that can start a new draft.
  • Draft workflows is the Phase 1 authoring area for selectors, ordered steps, validation, safe tests, and inactive soft archive.
  • Approval policies is the Phase 1 authoring area for reusable approval-policy drafts.
  • Safe test history retains synthetic test evidence and readiness results with zero side effects.
  • Active workflows is a future state; activation is not available in Phase 1.
  • Delegations is a future state; approval delegation is not available in Phase 1.
  • Execution history is a future state; no workflow runtime or execution exists in Phase 1.

Drafts versus published workflows

A draft is an editable authoring record, not a published workflow. A saved valid draft may be safe-tested and checked for readiness, but it remains unpublished and inactive. An incomplete-but-safe draft can also be saved with validation issues so it can be completed later.

Publish โ€” Available in Phase 2 is disabled. A ready result means only that the saved authoring record has passed the Phase 1 readiness checks; it does not publish, activate, execute, deliver, or convert anything. See Active workflows for how publishing will work once it is switched on.

What Phase 1 never does

Phase 1 never executes or publishes workflows, activates rules, assigns a live approval, sends a notification, applies a delegation, changes a document, processes a queue, creates a destination record, or converts a source-product record. Safe tests use synthetic inputs only and record zero side effects.

Boundary to keep in mind: Preview enables authoring only. Drafts, policies, templates, safe tests, readiness, and inactive soft archive do not create live behavior; publishing and the final three Workflow Settings sections are future or disabled. Production remains disabled pending completed UAT and separate approval.
