Partner Portal

The Partner Portal gives your customers and vendors a private, branded page — without needing an RSA account. Customers view and pay invoices; vendors submit bills, attach supporting documents, and check payment status. Both can keep their own contact profile up to date.

Signing in

Each organization has a unique portal URL: /portal/your-org-slug/. Share this link with your customers and vendors. Everyone signs in the same way, with passwordless email login:

  1. Enter the email address on file.
  2. RSA sends a 6-digit one-time code to that email (valid for 10 minutes). Each code works once.
  3. Enter the code to sign in.
  4. If the email belongs to more than one customer or vendor, choose the account to open. The list shows each account's name and whether it is a customer or a vendor. The choice must be made within five minutes; after that, choose Start over and request a new code.
There is no Customer or Vendor switch. RSA looks up the email across both your customers and your vendors, including their Portal Contacts (see below), and the sign-in screen answers the same way whether or not the email is on file. If someone isn't receiving a code, verify their email in Invoicing → Customers or Expenses → Vendors.

What customers see

The customer dashboard lists all their non-draft invoices with status and amount. From there they can:

  • Click any invoice to view its line items and total.
  • Download PDF — download a formatted invoice PDF.
  • Pay Now — pay online (shown when the invoice is in Sent status and a Stripe payment link is attached).
  • Message — send a message about the invoice that appears in the invoice's message thread in RSA.

What vendors see

The vendor dashboard lists their bills with status (Draft, Approved, Paid) and, for any bill with a payment recorded, a running "Paid $X of $Y" line with the payment history. From there vendors can:

  • Submit a Bill — enter a bill number (optional), bill date, due date, and a memo, then add line items (description, quantity, price). Optionally attach a supporting document — PDF, PNG, or JPG.
  • Upload an Invoice — instead of typing it in, upload the invoice file directly; it runs through the same AI extraction as staff-side AP Capture and always lands in your team's review queue — it never posts automatically. Uploaded invoices appear in a separate Uploaded Invoices section with a plain-language status ("Received — pending review") until your team reviews and posts them.
  • Track the status of bills they've already submitted, including payments as they're recorded.

A bill submitted through the form is created as a normal draft Bill, just like one your own staff would enter — it goes through the same draft → approve → pay workflow. It shows up on your internal Expenses → Bills list tagged Awaiting review until a staff member reviews it, assigns the expense account(s) on each line, and approves it. Any document the vendor attached appears as a View attached document link on the bill's detail page.

Vendor-submitted bills don't specify an expense account — that's assigned by your team during review, the same way you'd correct any draft bill line, before approving it.

Portal Contacts (for your team)

A customer or vendor is usually more than one person — an accounts-payable clerk and a project manager, say. Rather than creating a separate record for each, open the customer under Invoicing → Customers or the vendor under Expenses → Vendors and add them in the Portal Contacts section.

Each contact signs in with their own email address through the same one-time-code flow, and sees the same full set of that record's invoices or bills — not only the ones they were personally involved in. To revoke access, remove the contact; you'll be asked to confirm first.

Before Portal Contacts existed, a second person signing in under a different address ended up creating a separate customer record, splitting one company's invoices across two. If you have duplicates left from that, consolidate them and add the second address here as a contact.

Self-service profile

Both customers and vendors have a My Profile link in the portal where they can update their own contact person, phone, address, tax ID, and notes. Customers additionally see and can edit their payment terms. Changes save directly to their customer or vendor record in RSA — no staff action needed.

Invoice messaging (for your team)

Messages sent by customers appear in the invoice detail in RSA under a Messages thread. Your team can reply from the RSA app and the customer sees the reply in the portal on their next visit. Each message shows who sent it and when — the staff member's name on your side, the signed-in contact's on theirs — so a long thread stays readable. This keeps all invoice-related communication attached to the invoice record.
